We’re Hiring! Executive Assistant (Freelance)

Women On Tap CIC is looking for a freelance Executive Assistant to work closely with the Executive Director, keeping the day-to-day running of the organisation on track.

This role has come about as a number of new projects and initiatives move from funded to development stage, and we need reliable support to help manage the increased operational load. It's a varied role covering admin, systems, comms and project support - ideal for someone organised, comfortable working independently, and happy switching between spreadsheets, social media and sponsor-facing materials. Initially 2 days a month, with scope to grow as the organisation does.

Role details

Contract: Freelance, 6 months initially (September 2026 - March 2027) with potential to extend

Time commitment: 2 days per month (flexible, although one day every other week or half a day a week would be preferred.)

Rate: £200/day

Location: Remote

About us

Women On Tap CIC is a social enterprise championing gender equity in the beer industry. We're a Community Interest Company and certified social enterprise, supported by a voluntary Advisory Board, with all income spent on and reinvested back into our mission: a world where women thrive in all beer spaces - whether drinking it, brewing it, working in or leading the industry.

As we head into our 10th anniversary year, and with several newly funded projects moving into development, we're looking for a reliable Executive Assistant to help keep things running smoothly behind the scenes, freeing up the Executive Director to focus on strategic delivery.

It is recognised that at 2 days per month, time is very limited and we need to be realistic about what can be covered by this role. As this is a new appointment, we will work alongside the Executive Assistant to prioritise tasks and develop a realistic and achievable schedule and plan.

Below are the types of tasks this may include:

PA & general administration

  • Managing and maintaining the Beer Unlocked bursary scheme admin

  • Supporting Google Drive organisation and upkeep

  • Keeping sponsor packs current and easy to locate

  • Updating website content (Squarespace)

  • Maintaining the main dashboard of projects and contacts (Excel)

  • Managing email, calendar and calls/ meetings

  • Maintaining main monthly task lists

Communications

  • Social media activity upkeep using Canva and scheduling tools

  • Funder communications scheduling, planning and preparation

  • Advisory board communications

  • Sending sponsor packs and membership information, both proactively and on request

Project support

  • Supporting the next steps in the Beer Industry Diversity & Inclusion research project

  • Supporting development and dissemination of a sponsorship pack for the 10th anniversary programme

  • Supporting the launch and delivery of a new scheme (further detail shared at interview)

  • General admin support for a new digital service in development (further detail shared at interview)

  • Other tasks as required and agreed

What we're looking for

  • Strong organisational skills and attention to detail

  • Confident with spreadsheets (Excel/Google Sheets) and Google Drive

  • Comfortable managing email and calendar on someone else's behalf

  • Design skills in Canva or similar

  • Experience using Squarespace to maintain and develop websites

  • Experience with or willingness to learn social media scheduling

  • Able to work independently and flexibly, with minimal day-to-day supervision

  • Interest in or alignment with Women On Tap's mission is a plus
